Inventory & Accounting Officer

Reporting Relationship: Managing Director

Summary of Position:  

Accounting Officer:

Maintenance of accounting records and financial management reporting

Inventory Officer:

Responsible for the inventory management of all items (raw materials, work in progress, finished goods) within the centralized production facility and retail outlet (s)

Duties & Responsibilities:

Accounting Officer (Financial Reporting):

  • Payroll: ensure accurate, timely and efficient distribution and record-keeping of salaries.
  • Prepare Weekly Bank Reconciliations
  • Provide specific management reports and analyses within pre-specified deadlines.
  • Enter data in the Quickbooks software: company invoices, statements, sales records, and any other relevant documentation by the pre-specified weekly deadline and ensure that all information is accurate and reliable.
  • Prepare daily cashier overage/shortage reports based on sales records, to be provided to the Managing Director
  • Prepare financial management reports: Prime Cost, Income Statement, Balance Sheets, etc. on a weekly basis or as otherwise instructed by the Managing Director.
  • Prepare any other financial reports in a timely manner

 

Inventory Officer:

  • Receive Inventory matched against authorized purchase orders
  • Maintain the inventory management system, entering and pulling inventory as necessary
  • Conduct daily Key Items Inventory test counts at the centralized production facility and agree to the inventory management system
  • Conduct weekly inventory counts at centralized production facility and retail outlet (s).
  • Enter data from count sheets in inventory management system
  • Prepare Inventory Valuation Reports after inventory count results have been entered
  • Prepare Weekly Inventory Variance Reports
  • Prepare inventory reports for management meetings and include valuation in financial statements.
  • Make suggestions for improvement in the Company’s policies and procedures.
  • Generate inventory-driven purchase orders.
  • Monitor surveillance cameras on a daily basis
  • Run a series of inventory reports on daily, weekly, or monthly basis and perform detailed analysis of items
  • Maintain the Ingredient & Menu costing
  • Identify ‘heavy’ and ‘low’ turnover inventory items and maintain communication reports for management team

Qualifications:

  • Bachelor of Science degree, accounting preferred
  • Possess strong verbal and written communication skills; demonstrated ability to organize vast amounts of data
  • Demonstrate ability to multi-task several priorities and possess solid time management skills.
  • Competency in Quickbooks and the MS Office suite, especially Excel
  • Have knowledge of service and food and beverage
  • Possess excellent math skills
  • Must be detail-oriented and possess excellent organizational skills
  • Must be able to follow-through consistently
  • Must have a valid food handler’s permit
